Have your employees, just like us, swapped their workspace at the office or customer site for their home office? If so, you can no doubt use some advice about the technology, tools or organisation of teleworking. No need to scour the internet, our ‘teleworking task force’ is on hand to help you – without any obligation.

At the end of 2019, 22% of Belgian employees worked from home one or more days a week*. But what happens when everyone suddenly works remotely? How can you work together efficiently? We admit, this took some organising for Ordina too. Fortunately, we have a vast amount of experience and expertise in teleworking. A number of colleagues, including Sander Van Capellen and Thomas Declerck, joined forces in a ‘teleworking task force’. Their mission? To share tips and advice on how to work together online in a smart, efficient and secure way.

Change raises many questions

‘Quite a lot of tips you can find online are about how to organise and approach teleworking,’ says Jo Geeraerts, business unit manager of our ‘digital workplace’ team (BPS). ‘Very important, of course, but we know that companies have many other questions. What is the best-performing technology? How do you organise platforms such as the popular Microsoft Teams in the most optimal way? How do you make use of tools in a scrum meeting or training sessions? How do keep control of all teams, without excessive reporting or how do you make homeworking more fun for your employees? Our task force brings together specialists in every field – from MS Teams, networking and productivity tools to change management, user adoption and communication.’

By now, the internet is bursting with tips on efficient teleworking. But we know that companies are also looking for advice on technology and tools.

Video chats, group sessions and webinars

So, how does the task force work in practice? ‘The contact starts with a call or video chat to map the needs of the inquirer. Next, we can organise one-to-one but also group sessions with our experts to share our best practices. There are also plans for webinars together with Microsoft and other technology partners, which everyone will be able to sign up for without obligation. The range of services we offer will no doubt evolve over the following days, depending on the feedback and questions we receive. So, ‘agile’ is the keyword here too,’ says Jo.

Jo stresses that Ordina offers this advice as a service, without any obligation. ‘These days, our know-how is incredibly relevant, so it goes without saying that we want to make it available to Belgian companies.’

Jo’s 3 golden teleworking tips:

  1. Pick a moderator for every meeting
    Appoint a good moderator for every video meeting, who also keeps an eye on the outcome of the meeting, and draw up an agenda.
  2. Plan your day
    Plan both work and personal time and stick to this planning.
  3. Timing
    Try to limit an informative consultation to 25 minutes, a decision consultation can take up to 50 minutes. A mental break between meetings is important, this enables people to relax and gives them time to process information correctly. Also, it is advisable to schedule a meeting-free period every day, giving people more room a day/week to focus.
